How to Define Positions

Alvanda emphasizes the importance of clarity and specificity in role definition, starting with the selection of a role name that immediately conveys the essence of the position, such as “Social Media Manager”. 

This initial step is crucial for setting clear expectations for potential candidates and existing team members alike.

Upon choosing the appropriate role name, the next step is to assign them into the appropriate department. Alvanda allows for significant flexibility in accommodating organizational structures of varying complexities. 

Alvanda also allows users to decide which roles are Managerial or Non-Managerial. 

This feature ensures that Alvanda can cater to both hierarchical and flat organizational models.

Moving on from there, a key aspect of Position Management within Alvanda is the definition of clear Desired Outcomes and Responsibilities. 

Next, Alvanda encourages a distinction between Tactical Work, such as posting on social media, and Strategic Work, such as brainstorming new lead conversion strategies. 

This differentiation aids in crafting roles that are not only action-oriented but also aligned with the broader goals of the organization.

Moreover, Alvanda recognizes the importance of establishing both Company-Wide and Position-Specific Standards. 

These standards ensure all team members adhere to fundamental principles such as professionalism and punctuality, while also meeting the unique requirements of their roles, such as, in the case of our previous example, maintaining active social media profiles.

The platform also recommends us to outline the Resources available to each position, Accountability Measures, and Reporting Protocols. 

This comprehensive approach ensures each role is equipped with all of the tools and guidance they need, fostering a culture of responsibility and transparency.

Defining Positions Step-by-Step in Alvanda

  1. Log in to Alvanda
  1. Click on the Company button, on the left hand side panel.
  1. From there, click on View Org Chart button.
  1. Your Company’s Organization Chart will appear as follows: 
  1. To add and define a new Position, click on the New Position button on the left hand side. As a side-note, from this same page you can edit your Departments or Invite Team Members via the New Department or Invite Colleagues buttons. 
  1. Once you click on the New Position button, a new screen will appear, where you can define the Role Name, the Department the role will be part of, a Parent Position (who they report to), and you can tick the box below if the position is a Managerial Position or not. 
  1. Once you’ve completed the above fields, you will be able to click the Save & Continue button, at the bottom, which will create the new Position within your Org Chart, and allow you to define its details. 
  1. Once the position is created, the screen will automatically convert into thePosition Management screen, where you can now define the new position in as much detail as you wish. 

As a note here, you’ll notice on the top-right side of each input box there is a little question mark symbol (?). Hovering over that symbol will provide guidance or reminders on how to fill out each section.

  1. Once you have completed all the fields relevant to the new position you can go ahead and Assign one or more of your Colleagues to it using the button at the bottom.  In case they haven’t already been invited to Alvanda, you can invite them from the Assign Colleagues dropdown menu. 

You can also share the position with other Positions from other departments or teams. Sharing means whomever you share a position with will be able to delegate tasks to people in that position. For example, a Graphic Designer might be in your Org Chart within the Product Development Department, but also be a shared resource with people in the Marketing & Sales Departments to create banners and such. 

At the bottom of this screen, you’ll see you also have the options to download all the details about the Position as a shearable PDF, or you can create a Duplicate or Delete the position if you want. 

Once you’re done adding as many details as you wish and/or assigning relevant Team Members to this Position, you can go ahead and click on the Save & Continue button at the bottom. 

  1. Once done you can see the new position in your Organizational Chart within the Department and under the Manager you chose.
